Choosing the Right Email Address

Before you create your first account, it helps to think about what email addresses you actually need. Here are some popular choices and when to use them:

Starting out? You really only need one or two addresses. Many small businesses begin with just hello@ for everything and add more as they grow. You can always create additional accounts later.

Accessing Email Management

Log in to the Web Hosting Control Panel

Open your browser and navigate to web.freakhosting.com. Enter your login credentials to access the control panel.

Select Your Website

From the dashboard, click on the website (domain) you want to manage email for.

Open the Emails Tab

In the top navigation bar, click the Emails tab. This opens the Email accounts page where you can view, create, and configure all email accounts for this domain.

Email Accounts List

When you open the Emails tab, you will see the Email accounts page with a table listing all existing email accounts for the selected domain. The table displays the following columns:
  • Email Address — The full email address (e.g., info@yourdomain.com). Click the column header to sort alphabetically.
  • Mailbox Usage — A progress bar showing how much storage space the mailbox is currently using relative to its limit.
  • DKIM — A lock icon indicating whether DomainKeys Identified Mail is enabled for this account (helps prevent email spoofing).
At the top-right of the page, you will find:
  • A Webmail link (with an external link icon) to open the browser-based email client in a new tab
  • A cyan Add account button to create a new email address
You can also use the search icon to quickly filter and find a specific email account when you have many accounts set up. Each email account row has a three-dot menu on the right side for quick actions.
What is DKIM? Think of DKIM as a digital signature stamped on every email you send. It proves to the recipient’s email provider that the message genuinely came from your domain and was not tampered with along the way. When DKIM is enabled, your emails are far less likely to land in spam folders. You can copy your DKIM record by clicking the copy icon next to it on the email detail page.

Creating a New Email Account

Let’s walk through creating a professional email. We will use the example of setting up hello@sweetcrumbs.com for a bakery business.

Click Add Account

On the Email accounts page, click the cyan Add account button in the top-right corner.

Enter the Email Prefix

Type the part of the email address that comes before the @ symbol. For our bakery example, you would type hello to create hello@sweetcrumbs.com.Keep it simple, professional, and easy to spell. Avoid numbers or hyphens unless absolutely necessary — you will be reading this address out loud to customers, printing it on packaging, and typing it into forms.

Set a Password

Enter a strong password for the email account. This password will be used to log in to webmail and to authenticate in email clients like Outlook or Thunderbird.A good password should be at least 12 characters and include a mix of uppercase letters, lowercase letters, numbers, and special characters. Consider using a password manager to generate and store it securely.

Save the Account

Click the Save or Create button to finish. Your new email account is now active and ready to use.
New email accounts are available almost instantly. You can begin sending and receiving emails right away after creation — no waiting for DNS propagation or server restarts.

Email Account Settings

To configure an existing email account, click on its email address in the list. This opens a detailed settings page with your DKIM status displayed at the top (with a copy icon to grab the record) and a left sidebar containing the following sections:
  • Mailbox — Sender name, storage usage, and password management
  • Forwarders — Automatic forwarding rules
  • Catch-all — Route messages for non-existent addresses
  • Spam settings — Spam filtering thresholds and allow/block lists
  • Out of office — Automatic reply configuration
  • Email client settings — Server details for connecting Outlook, Thunderbird, iPhone, etc.

Mailbox Settings

The Mailbox section is your home base for the email account’s core settings:
  • Sender’s name — This is the display name that recipients see in their inbox when they receive your emails. For example, if you set this to “Sarah from Sweet Crumbs,” that is exactly what your customers will see next to the subject line — rather than just a raw email address. You can change this at any time to match your branding or role.
  • Mailbox size — A visual progress bar showing how much of your allocated storage is in use (for example, “245 MB of 1 GB”). Click the edit icon next to the size bar to adjust the storage limit if your plan allows it. This helps you keep an eye on whether you are running low on space.
  • Password — Your current email password is hidden for security. Use the Reset button to set a new password whenever needed (see the step-by-step instructions below).
Make your Sender’s name count. Instead of just “Sarah,” try “Sarah | Sweet Crumbs Bakery” or “Sweet Crumbs Support.” Recipients are more likely to open your email when they instantly recognize who it is from.

Resetting an Email Password

Forgot the password, or just want to update it for security? Here is exactly how to do it:

Open the Email Account

In the Emails tab, click on the email address whose password you need to reset.

Go to the Mailbox Section

In the left sidebar, make sure Mailbox is selected (it is usually the default view when you open an account).

Click Reset

Find the Password field and click the Reset button next to it.

Enter a New Password

Type your new password. Make it strong — at least 12 characters with a mix of uppercase, lowercase, numbers, and symbols.

Save and Update Your Devices

Save the new password. Then update it in every email client or app where this account is configured (Outlook, Thunderbird, your phone’s mail app, etc.), because the old password will stop working immediately.
Resetting your email password will immediately disconnect any email clients (Outlook, Thunderbird, phone apps) that are currently signed in with the old password. You will need to update the password in each client after resetting. Plan to do this when you have a few minutes to update all your devices.

Convert to Forwarder-Only

Sometimes you need an email address to exist, but you do not actually need a full mailbox behind it. That is where Convert to forwarder-only comes in. Here is a real-world example: Let’s say your bakery originally had orders@sweetcrumbs.com as a full mailbox. But now Sarah handles all orders from her main sarah@sweetcrumbs.com inbox. Instead of checking two mailboxes every day, you can convert orders@sweetcrumbs.com to a forwarder-only address. Customers can still email orders@sweetcrumbs.com, but every message automatically lands in Sarah’s inbox instead. No second mailbox to manage, no messages slipping through the cracks. To convert an account, open the email account settings and look for the Convert to forwarder-only option in the top-right area of the page. You will then be prompted to set up the forwarding destination.
Converting to forwarder-only permanently deletes all emails stored in that mailbox. Make sure you have backed up or downloaded any important messages before converting. Once converted, you can no longer log in to webmail or an email client with that account — it simply forwards everything to the address you specify.

Accessing Webmail

If you want to check your email directly in a web browser without setting up a desktop or mobile client, you can use the built-in Webmail interface. It is perfect for quick checks on the go.

Open Webmail

From the Emails tab in the control panel, click the Webmail link (with the external link icon) at the top-right of the email accounts list. This opens the webmail login page in a new browser tab.

Log In

Enter your full email address (for example, hello@sweetcrumbs.com) and your password to sign in.

Start Using Webmail

Once logged in, you can read, compose, and organize your emails directly from the browser — no additional software required.
Webmail is especially handy when you are traveling or using a shared computer where you cannot install an email client. Your emails remain safely on the server, accessible from anywhere with a browser.

Deleting an Email Account

If you need to permanently remove an email account:

Open the Email Account

In the Emails tab, click on the email address you want to delete.

Scroll to the Bottom

On the email account settings page, scroll all the way down to find the red Delete button.

Confirm Deletion

Click Delete and confirm when prompted. This will permanently remove the email account, including all emails, folders, and settings associated with it.
Deleting an email account is irreversible. All emails, contacts, and configurations for that account are permanently lost. Make absolutely sure you have saved any important data before proceeding. If you just want to stop using the mailbox but keep the address active, consider converting to forwarder-only instead.

Frequently Asked Questions

Make sure DKIM is enabled for your domain (check the DKIM column in your email accounts list — look for the lock icon). Also ensure your domain has proper SPF and DMARC DNS records configured. These authentication methods tell receiving mail servers that your emails are legitimate. You can copy your DKIM record from the email detail page using the copy icon next to it.
Log in to the Web Hosting Control Panel at web.freakhosting.com, go to the Emails tab, click on the email account, and use the Reset button in the Mailbox section to set a new password. You do not need to know the old password. Just remember to update the password on all your devices and email apps afterward.
The number of email accounts depends on your hosting plan. Check your plan details in the billing panel or contact support if you need additional accounts.
The mailbox and all stored emails are permanently deleted. The address continues to exist, but incoming messages are only forwarded to the external address(es) you specify. You can no longer log in to webmail or an email client with that account. It is a great option when you want to consolidate multiple addresses into one inbox without losing the public-facing email.
Use something that your recipients will immediately recognize. For a business, try your company name or a combination like “Sarah from Sweet Crumbs.” For personal professional use, your full name works great. Avoid leaving it blank — recipients are more likely to open emails when they can see who sent them at a glance.
Email addresses cannot be renamed once created. If you need a different address, create the new one first, migrate any important emails, update your contacts, and then delete the old account. Alternatively, set up the old address as a forwarder-only to redirect messages to your new address during the transition.
